How to qualify leads before they eat your day

7 min read · Published 2026-08-06

The maths of an unsorted inbox

Ten enquiries arrive. Three are ready to buy and have budget. Four are early and gathering options. Two are price shopping and one wants something you do not offer.

Without a filter, all ten get the same treatment: your best person on the phone for twenty minutes each. That is most of a day spent mostly on the wrong fifth of the list.

What qualifying actually means

Working out four things quickly. What they need. When they need it. What is stopping them. And whether it fits what you do at a price that makes sense for both sides.

None of that requires an interrogation. It requires the same questions asked every time, in the same order, recorded somewhere the whole team can see.

The questions that do the work

Start with the job itself rather than the budget. Scope first, timing second, budget third. By the time someone has described the work and the deadline, you usually know whether the budget conversation is worth having.

The single most useful question is what happens if they do nothing. It separates the urgent from the curious faster than any other.

Where it goes wrong

Qualification done badly is a script that grills people who just want a plumber. The tone matters as much as the questions. It should feel like someone understanding the problem.

The other failure is consistency. One person qualifies by instinct and another asks nothing. The pipeline data becomes noise and nobody trusts the numbers.

Letting a system do the sorting

This is one of the best jobs to hand to an agent, because it is repetitive and rule based. The enquiry comes in. The questions get asked. The answers get recorded. Ready buyers get booked or flagged immediately. The rest enter a follow-up path that keeps working on them without anyone thinking about it.

One of our clients uses this for construction enquiries, where a good third of requests need procurement input rather than a sales call. The sorting now happens before anyone on the team spends a minute on it.

What changes

Your team spends its time on people who are ready. The early-stage enquiries still get attention, on a schedule, instead of clogging the day. And the pipeline report starts telling you the truth about what is actually coming.
