Quoting that goes out while the lead is still warm

Quotes decay

A request for a quote is a problem the customer wants solved. The enthusiasm for solving it falls off quickly. A quote that lands two days later arrives into a different mood than one that lands within the hour.

Speed also protects margin. Fast quotes get compared on their merits. Slow quotes get compared on price, because by then the customer has lost the thread of why you were different.

Why quotes are slow

It is almost never the pricing. It is the gathering. Someone has to find the last email, work out the specs, check what the job involves, wait on a supplier price, and find a quiet hour to put it together.

The quote is the last of five steps and the only one the customer sees.

Cutting the work before the quote

The fastest quoting businesses capture the scope once, properly, at first contact. The questions get asked in a standard way, the answers get recorded, and the quote can be assembled from what is already on file.

This is where pre-qualification and quoting turn out to be the same job. Good intake is half the quote.

Consistency protects margin

When quotes get built in a hurry by different people, the pricing drifts. Similar jobs land at different numbers, and the ones that drift low are usually the ones that get accepted. A standard structure keeps the numbers honest and the team confident.

Templates are not the enemy here. The consistent part should be the structure and the terms. The scope still needs human attention.

The follow-up nobody schedules

A quote sent is not a quote received. The nudge at day two and day seven catches the parked decisions, and it is the single highest-return habit in most sales processes.

Run it as a sequence and it happens every time. Leave it to memory and it happens when things are quiet, which is exactly when it is too late.

How we build it

Intake questions that capture the scope at first contact. Quote assembly from what is already recorded. Sending and follow-up on a schedule. All wired into the systems your team already uses.

If your quotes take days and your conversion is soft, look at the front of the chain first.
