NZM Media: from hours to seconds on every enquiry

The problem

A performance marketing agency runs on booked strategy calls. Every campaign brings a wave of questions: what does it cost, what is included, when can we talk. At NZM Media those questions arrived at all hours, split between phone calls and social media messages, and each one waited until someone on the team got to it.

Replies took hours. In a market where prospects contact two or three agencies in the same afternoon, the agency that answers while the question is fresh usually wins the call. The team could see the gap widening, and the people who should have been running strategy were doing reception work instead.

Where the work was really going

Before anything was built we mapped the journey from first contact to booked call. Three things stood out.

Most enquiries were the same handful of pricing and service questions, so most of the waiting was for answers the agency could give in its sleep. Leads wrote and spoke in more than one language, so speed depended on who happened to be free to reply. And booking a strategy call took a chain of messages that nobody enjoyed.

That map set the order of work: answer the everyday questions instantly, qualify properly in any language and get qualified prospects into the calendar without the chain.

What we built

The agency now handles both channels at any hour in its own voice. A message at midnight gets the same reply as a call at midday, so nothing cools overnight.

  • Inbound calls and social media DMs, answered around the clock in the agency's voice.
  • Multi-language qualification, so leads are qualified in the language they write or speak in.
  • Automated strategy-call booking. Qualified leads pick a time and land in the strategy calendar without a single back-and-forth message.
  • Instant answers to pricing and FAQ questions, drawn from the agency's own price list and service rules.

Going live without disrupting the week

Every answer comes from the agency's own materials, so replies sound like the business and follow its rules. Launch meant connecting the channels and tuning the answers against real conversations. The team kept working throughout, and the new layer simply took the waiting out of first contact.

What changed

The numbers below come from this deployment.

  • Response time dropped from hours to under 30 seconds.
  • Social media DM conversion rose 40 percent.
  • Booked calls rose 50 percent.
  • Acquisition velocity rose 30 percent.

The quieter win is what the team got back. Reception work that used to interrupt the day now runs on its own, and the strategy calendar fills itself with qualified calls.

If this sounds familiar

Every business feels this pain in the same place: the gap between an enquiry arriving and someone answering it. If your fastest follow-up is slower than your customer's patience, the fix is not more headcount. It is making the first reply instant and right.
